If you are a pr client, then take notes, this can help you get press releases published. If you are a small pr agency, make sure you know these tips.

It seems when pr clients have press releases they feel the “world” wants to know all aboutpress release distribution it and cannot understand why it hasn’t been published. To get press releases published, you should first start in your own local backyard. This means contact your local media. Local newspapers, radio shows, TV reporters, and even online eMagazines. When you do this, it will help build your company name among the media. Even local papers, and other local media get the attention of national press. So start in this manner and then follow these steps.

To find the types of local media in your area, there are many sources you can use. Since we are in the age of Internet, this should be your first place to research. It is best to Google, or Yahoo the industry you or your pr client is in. I’ll give you a few places to look, such as:

Media Post. This lists all the media in the US

NewsLin.org provides a list of countries for media sources

ABYZ News Links, this also is a directory of countries

I need to mention that you or your pr client must have a web site. Why? In today’s fast moving world, a company’s web sites are a source for media, reporters to verify information, or to collect additional information about a company. After the press release is professionally written, now where do you submit it? Begin with the local media– newspapers, magazines in your area.

Then use the online sources. Some of these are: PRWeb.com. This site allows free distribution of releases. Another Free online site is Free-Press-Release.com. Many other excellent online sources exist. But start small and build your own media list that is specific to your industry.

No matter how much you read about optimizing a web site, or how to design it for ease of navigation, we are always asked by clients how to improve their image via the Internet.

Web Marketing and PublicityThe best and most oblivious media is through your web site. Simple, yet companies tend to crowd everything they have about the company into hundreds of pages deep, or they make one page be a couple of thousand words long.

You can talk to a dozen different web-marketing companies, or web designers, and all they know is that small segment. Few understand the power of publicity. Those progressive web companies will work with the pr clients, or the publicity staff, or the pr firm to discuss how to incorporate their areas of expertise into making the web site proactive.

For example, each pr clients website should include a newsroom, or press section. This will have company press releases, articles, white papers, etc that can be viewed by the reporters, publishers, or any media.

Other important pages are:

  • About Us
  • Contact Us
  • Products/Services
  • Blog Site

The Press Room or Publicity section should also be in this list. The above areas are the main sections to a good web site structure. Planning these pages within these sections is also critical. Don’t go wild and have a dozen pages deeper. If you need to, break that heavy copy page into another one or two sections for visitors to view if desired.

Too much information is not as good as you may think. Instead, condense your information with solid content. Your visitors will learn more and come back often.

Use the media that offers wide reach, on-line releases


If you are a pr pro, or in the publicity industry, you need to make sure that you are using all the resources available.

This means print, broadcast and of course, on-line.

Writing releases for the mass media, such as the print industry, requires information for the editor to feel it is newsworthy. This we already know. One important point is to make the release fit that industry. Sometimes its revising one or two paragraphs to make the release more appropriate to that readership.

Now lets move to on-line.

While print releases can be two to several pages long, on-line releases should not exceed 800 words. Actually it should be closer to 650 words or less. Don’t go the opposite and write something only 400 words.

As much as readers on the net like short reads, we want to feel that the information has value and content and was beneficial to us.

Keep the on-line source as part of your media mix when distributing press releases.

Another critical secret in on-line releases is to embed, or provide links. This cannot be done with other media outlets like broadcast and print. Don’t go crazy with links on every sentence, and make sure these links are support for the release.

The next step is to distribute the releases. Use a service that you know can handle on-line distribution as well as traditional. Some of these companies are PRNewswire, Bacon’s, and Business Wire. Also, remember to add the releases to your own web site.

One more thing you need to make sure you are doing to get the most of a release. In your web site, create a navigation button titled newsroom, pressroom, or something similar. Place the releases, and/or stories published in that section. Now you have an additional on-line presence with your releases.
